WellCollar
Pivoten alternative

Moving off Pivoten? We made the same move.

Green Collar Energy ran on Pivoten before we built WellCollar. We moved our own wells, owners and interests over, and now run the whole company on it every day. Here's what we learned, what changes, and how to decide if switching is right for you.

Not ready to switch?

Keep Pivoten. Add the AI phone attendant.

Attendant Only puts WellCollar's AI Phone Attendant on your own local number without changing your accounting. Upload Pivoten's well file and the attendant knows your wells by name, API number, township and nearest location. It answers landowners and haulers 24/7, logs every call and opens work orders. $199/month, or $299 with Pro. No per-well charge and no onboarding fee.

Setup

Bring your wells from Pivoten

Upload WELLS.dbf from your Pivoten data folder. You see your wells before anything is saved, and sold wells stay out. Ohio wells get map locations from ODNR.

Calls

Answers like your office would

The attendant finds the caller's well, checks for an open work order, takes their notes and emails your team a summary of every call.

Later

Move to Core when you're ready

Your wells and work orders are already in WellCollar, so switching from Pivoten is a plan change, not a migration.

What we learned

How we moved our own company

When we moved Green Collar Energy off Pivoten, every well's interests had to balance to exactly 100% on both revenue and expense before anything was saved. Here's how we approached it.

Wells

Matched by API number

We matched every well on API number only, so nothing was guessed from names that didn't line up.

Owners

Owners and their interests

Owners kept separate revenue (NRI) and expense (working interest) decimals, the way the decks actually work.

Checks

Nothing written blind

We ran each step as a dry run first and set aside any well that didn't balance, with the reason, to fix by hand.

What you get

One system instead of an accounting package plus everything else

The biggest change for most offices isn't the accounting. It's having the field, the filings and the books in the same place.

How to decide

Questions to ask before you switch anything

Use these with any vendor, including us. A good answer is specific.

  • Who moves my data, and how do I know the interests balance afterward?
  • Can my pumpers enter tickets in the field without signal?
  • Does the state production report come from the field data, or do we retype it?
  • What does it cost all-in, including onboarding and every user?
  • Is there a long-term contract?

If your office only needs accounting and your team is happy where it is, staying put can be the right call. WellCollar fits best when the field, the filings and the books are living in different places today.
